Builder Business SystemsIf you stop answering the phone for a week, does the build keep moving or does it stop?

Systems for building companies: the scheduling that keeps subcontractors turning up in order, the progress claim that goes out the day the stage is done, the variation that gets signed before the work starts, and the site handover that does not need you standing there.

The week this is about

Sound Like Your Building Business?

The whole schedule lives in your head

You know the plasterer follows the sparky's rough-in, that the waterproofer has to be done and cured before tiling, and which supplier is slow on windows. None of it is written down, so nobody else can run a job without ringing you.

Progress claims go out whenever you get to them

The stage was signed off on Tuesday. The claim went out the following Monday because you were on another site. That is a week of your money sitting with the client, on every stage, on every job, all year.

Defects come back and nobody logged them

The wet area callback, the door that dropped, the paint touch-up. Each gets fixed by whoever is closest, at your cost, with no record of the cause. Wet area waterproofing under AS 3740 is the highest defect claim category in the home warranty schemes.

A building company that only works when you are on site is not an asset, it is a job with more risk and a licence attached.

Systems

Here Is What We Do About It.

The Learning Hub carries the systems and SOP training, plus the templates and frameworks TSA has built for trade businesses: schedules, claim processes, variation forms, handover checklists. AI Club runs weekly live workshops on using AI in a trade business, so the admin that eats your Sundays gets done in minutes.

How it works

Three Steps, Starting Tonight.

Step 1

Write down the job you already do

Every system starts as the thing in your head. The templates in the app give you the shape, so you are filling in a form rather than staring at a blank page.

Step 2

Hand one process over and watch it

A system is not real until someone else has run it once without ringing you. The training covers how to hand over, what to check, and how to fix it when it comes back wrong.

Step 3

Automate the parts that never needed a human

AI Club runs weekly on exactly this: the quote follow-up, the reminder, the invoice chase. The admin that eats your Sunday and does not need your judgement.

What changes

What Building Business Systems Actually Changes.

Three things building business owners walk away able to do.

Hand a job to a supervisor with a written schedule and sequence they can follow

Issue every progress claim the day the stage is signed off, not the week after

Log every defect and callback so you can see which trade is costing you money

Questions

Builder Business Systems, Answered.

Will systems work when every build is different?
The house changes. The sequence does not. Base, frame, lock-up, fixing and completion run in the same order on every residential job, and so do the claim, the inspection and the variation that go with them. You systemise the process around the build, not the build itself.
Do I need construction software to get organised?
Software helps, but it will not fix a process you have not defined. Decide the sequence, the claim trigger, the variation rule and the handover standard first, then pick a tool to carry it. We train the process, and AI Club shows you how to run the admin around it faster.
How do I stop variations turning into disputes at the end?
Make the rule absolute: nothing gets built until the variation is written, priced and signed. In New South Wales and Queensland that is not just good practice, it is what the Home Building Act and QBCC require for an enforceable variation. Put it in a form, give it to your supervisors, and never allow a verbal one.
