Why does a solar business feel buried in paperwork even when the install calendar is full?
Most solar installers find the admin grows faster than the crew does. A job that should take an hour to quote can eat half a day once system size, panel and inverter combinations, battery options, STC rebate workings and the certificate paperwork all get typed up from scratch.
A solar install already carries more non-billable work than most trades. There is the quote itself, often multi-line and reworked more than once. There is the rebate calculation. There is the certificate that has to match what actually went on the roof. There is the network connection approval that has to be lodged and chased before the system can be switched on. There is the accreditation record that has to stay current. None of that is billable, and all of it sits between the sale and the cash.
For a solar installer moving out of the foundation phase, where the owner still does most of the paperwork personally, and into a growth phase, where more crews are on roofs and more leads are coming in, the paperwork does not shrink. It multiplies, because every extra job means another quote, another certificate, another approval sitting in the queue.
Why doesn't a chatbot on the website actually fix any of that?
A chatbot that answers a customer's question about feed-in tariffs or monitoring is useful for sales enquiries, but it does nothing about the hours lost inside the business between the lead and the install. It talks. It does not do the work.
Most of what gets marketed to trades as AI for solar businesses is conversational: a bot that replies, summarises or drafts an email. That has a place in handling enquiries, but it leaves the real cost untouched, which is the owner or office person manually re-keying roster details, wholesaler pricing and job specifications every time a quote has to be built.
What is agentic AI, and how is it different from a chatbot that just answers questions?
Agentic AI is an AI agent, software that does a job the way the owner would, using their prices, their wording and their rules, and then actually goes and does it inside the owner's own systems, rather than waiting to be asked a question. Where a chatbot talks, an AI agent acts.
For a solar installer, that distinction matters because so much of the non-billable time is not a question that needs answering, it is a task that needs doing: pulling data from one system and placing it correctly in another, in the format the job management system or the certificate paperwork actually needs. That is work, not conversation, and agentic AI is built to do work.
How can AI agents turn a roster or wholesaler catalogue straight into a quote or a built job?
AI agents can take raw data, such as a wholesaler's product catalogue or a staff roster, and build it out into structured items automatically, pricing included, instead of an installer or office person copying each line by hand.
Picture a solar installer whose quoting and job building used to mean manually copying everything across from a staff roster spreadsheet into the job management system, line by line, for every panel, inverter and battery combination. A team member set up an AI agent to take that same roster and automatically produce the quote and build the job itself. She recorded herself doing the task once, so the agent could learn the steps she already knew by heart. The install still needed a human on the roof. The retyping did not.
What does a solar installer's own data show about where the real time is going?
The number that tells the truth here is gross profit margin by job type, tracked monthly against the hours the office and the owner put into admin for that job type, not a one-off figure on a single quote. Memory tells an owner the business feels busy. The data shows whether commercial solar jobs, residential battery retrofits or warranty and service calls are quietly eating margin through paperwork rather than through the install itself.
That is data first thinking: the numbers from the owner's own job and finance records, read together, usually point to where the admin is actually costing money, which is rarely where it feels like it is costing money. A solar installer in a growth phase, trying to free up time for more leads and more roof access, needs to know which job type is absorbing the hours before deciding what to fix.
Should a solar business rent generic software or build systems around how its jobs actually run?
Some off the shelf tools suit a solar installer well, particularly for monitoring, compliance records or accreditation tracking, and the owner's own data is what shows which of those are worth keeping. The alternative worth knowing about is owning systems built around how the business actually quotes, installs and services, rather than renting software built for every trade at once.
A solar business has its own shape: sales led enquiries, multi-line system quotes, rebate and certificate paperwork, network approvals, and warranty claims that can turn up months after the install. Generic software rarely fits every one of those steps. AI agents built on the owner's own pricing, wording and job data can sit inside that shape instead of forcing the business to work around someone else's.
How does Data First Coaching approach this?
Data First Coaching starts from the solar installer's own job and finance data through the Trade Business Intelligence, not from a guess about where the admin is heaviest. For one installer the real drain might be rebate and certificate paperwork, for another it might be rebuilding quotes after every roster change. The data shows which, and Greg has put it plainly: “Agentic AI is what we're gonna be talking about here, is you can actually get the AI to go and do work for you.”
The how, which agent to build and where exactly it sits in the job, is worked through inside the Academy, with members. The Academy is for owners who are open minded, innovative and willing to share what they build, because the Trade Business Intelligence is powered by every member who brings their own numbers and their own mistakes to it.
